ASSISTANT MANAGER Job description

Purpose: The Assistant Manager is responsible for functions of daily operations. Overseeing and managing the team within each department according to BAC values, standards and procedures in order to ensure organizational success, effectiveness and efficiency.

Scope The Assistant Manager reports to the Department Managers and is responsible for assisting in maintaining an efficient, positive environment, ensuring company goals and objectives are being met as set forth by upper management. The Assistant Manager oversees the Shift Supervisor(s), Access Ambassadors, Sales & Service Agents, Dispatchers, Contract & Crew Shuttle Chauffeurs, and Baggage Logistic Agents positions, and works diligently with Department Managers to maintain and develop effective quality controls in each department. The Assistant Manager ensures government regulatory compliance, ensure team needs are met, and cultivates a positive and safe work environment. The Assistant Manager is committed to continually demonstrating the BAC core values to the rest of the team.

Responsibilities

Environment:

  • Maintains a positive, clean, organized and safe work environment for all.

  • Promotes and practices safe work habits, rectifying and reporting potential safety hazards, operational inconsistencies and team member incidents to the Department Manager(s)

  • Assist in design and implementation of office policies

  • Maintains standards and procedures

  • Ensure office and shop supplies stock levels are adequately inventoried, anticipated, and maintained.

  • Ensure office equipment is functioning properly

  • Ensure filing systems are maintained and up to date

  • Ensure proper protections and security of files and records

  • Plan and implement office systems, and layout

Team:

  • Demonstrates the ability to lead, communicate and champion The BAC core values, company policies and standard operating procedures.

  • Ensure the top four goals are met by leading the team through decision making, guidance, coaching, training, accountable measures, and clear direction especially in regards to performance expectation.

  • Ensure completion of all department duties acting as relief help when needed.

  • Establish effective and positive communication with all team members.

  • Ensure time keeping records are accurate and approved by the deadline.

  • Ensure Hours of Service logs are being tracked effectively and processed in a timely manner.

  • Ensure compliance of BAC’s standard operating procedures, and policies through evaluation, coaching and disciplinary actions.

  • Ensure that all cash handling procedures are followed.

  • Ensures Sales Department and dispatch are properly executing rate sheets and sales promotions.

  • Monitor all assigned company communication channels, email boxes, system memos etc.

  • Attend all mandatory company and client meetings.

  • Assist with dispatch office duties, scheduling, training, and coaching team members in assigned department on software systems, policies and procedures.

  • Monitor the workload of the department schedule, ensuring enough staff coverage is forecasted.

  • Ensures completion of operations reports/documents incidents/team member accidents, conducts initial investigation and determinations of root cause in the interest of maintaining a safe work environment.

  • Ensures proper follow and resolution of all incident reports.

  • Cultivates among the team an attitude of proactive responsiveness to prevent customer service situations.

  • Ensures Pro-active action in solving customer problems and satisfying customers in various situations.

  • Ensures all Company policies and procedures with regards to maintaining the highest quality and consistent standards of vehicle cleanness, and trip punctuality.

  • Ensures that all team members are educated on our products and services, by developing an understanding of our various types of vehicles and the services provided in each department.

  • Maintains quality control standards through phone/field/service/vehicle spot checks.

  • Fulfill all other duties assigned as assigned by the Department Manager(s).

Qualifications

  • Minimum high school diploma with three years of supervisory experience.

  • Previous dispatch experience preferred.

  • Basic computer skills required.

  • Must be able to work weekends, evenings and special events as needed.

  • Well-organized and detail-oriented and able to multi-task with a high level of accuracy in preparing and entering information.

  • This position will require frequent standing and use of hands and arms.

  • Must be able to lift up to 50lbs and bend and twist from the waist.

  • Must have excellent verbal and written English communication skills.

  • Must have a Current driver’s license.

  • Must pass pre-employment and random Drug and Alcohol tests.

  • Must pass background checks to include a good driver history record.

  • Must pass a Dot physical and keep a current medical card.

Physical Demand

This work requires also requires sitting, standing, walking and climbing for long periods of time and using office equipment. It may require bending, lifting and pushing over 50lbs and moving supplies and materials from time to time and driving in challenging road conditions.

Environmental Conditions

Work is typically performed in an office environment in Anchorage, Alaska or at the Ted Stevens Airport. Work may also be performed outdoors, throughout the city or state, as required and may include exposure to high levels of noise, cooler temperatures and be physically demanding. The Assistant Manager is faced with constant interruption and must meet with others on a regular basis. It can be stressful when dealing with emergency situations or with routine work punctuated by very busy periods. All BAC Transportation vehicles and buildings are smoke-free.

Sensory Demands

Long hours of intense concentration on the computer and problem solving.

Mental Demands

There are a number of deadlines associated with this position, which may cause significant stress. The Assistant Manager must also deal with a wide variety of people on various issues.
